Job Description

KEY RESPONSIBILITIES

We are looking to appoint a Knowledge and Information Systems Manager to ensure the effective operational management and continuous improvement of the organisation’s knowledge and information management systems, primarily Salesforce CRM and Microsoft Office 365 services such as SharePoint, OneDrive and Teams.   

This is a terrific opportunity for an experienced CRM / database administrator looking to move into a broader, more strategic role offering a considerable degree of autonomy. 

The main responsibilities of the postholder will include:

  • Leading the day-to-day operations and management of knowledge and information management systems across ShareAction;
  • Championing systems through the maintenance of active relationships with system users across ShareAction that ensure a positive end user experience;
  • Managing the progressive development of our knowledge and information management systems, both by keeping abreast of new technologies and features and by working with staff across ShareAction to understand business requirements and translate them into technical solutions;
  • Designing and providing robust training that ensures ongoing engagement with, and the effective and efficient use of our knowledge and information management systems;
  • Developing, enhancing and maintaining policies, procedures, processes and metrics around knowledge and information management including those relating to data security and protection and regulatory compliance, particularly GDPR;
  • Working with the Head of Operations to develop short-, medium- and long-term plans for the knowledge and information management function at ShareAction;
  • Establishing and reporting on key knowledge and information system KPIs;
  • Maintaining relationships with external suppliers and consultants.

Person specification

We are looking for a passionate, determined individual, with the following experience and skills:

 

ESSENTIAL

  • 2+ years’ experience working with database / CRM systems, ideally Salesforce Lightning;
  • Experience of day to day database administration, undertaking tasks such as creating users, managing permissions, creating fields, reports and dashboards, editing page layouts, creating workflows and monitoring data quality;
  • Experience of analysing business requirements and turning them into technical solutions;
  • Exceptional organisational and project management skills with the ability to work under pressure, and plan and prioritise work effectively to meet deadlines;
  • First rate communication skills, both verbal and written with the ability to convey technical solutions in non-technical terms;
  • Analytical thinker with a demonstrable ability to find creative solutions to complex problems; strong attention to detail;
  • Training experience at a one-to-one or small group level;
  • A positive can-do attitude; resilient, flexible, adaptable and proactively responsive to change;
  • Strong interpersonal skills; team player able to work with limited supervision;
  • Sound knowledge of data protection regulations / GDPR;
  • Good working knowledge of Microsoft Office applications, particularly Word, Excel and Powerpoint.

DESIRABLE

  • Experience of working with the Salesforce Non-Profit Success Pack;
  • Experience of using Zapier;
  • Experience of working with Microsoft Office 365, particularly SharePoint.

A few more details

  • Hours of work: 35 hrs per week with an expectation of some out of hours working
  • Holidays: 25 days per annum, pro rata plus working days between Christmas and New Year, plus statutory bank holidays
